Invite Users From Spectrum

Add Spectrum users to your Traqspera portal as Managed users or Trimble ID users.

You must have the Manage Users permission. If you invite users as Managed users, make sure your portal short code is set. For more information, see Configure Managed Users.

To add Managed users, you must be a Trimble ID user and have access to Trimble's Admin Console with the Account Owner, Secondary Account Owner, or License Admin role. For more information, see Getting Started with Admin Console for Managed Users - Video and Admin Console Onboarding Guide.

On the User Management page, select Invite From Spectrum to open a full-page wizard. The wizard has five steps for Trimble ID users and six steps for Managed users. For more information about log in types, see User Types.
  1. In Traqspera, Select Settings > User Management.
  2. Select Invite From Spectrum.
The invitation wizard opens. Select Back To User Management at any time to return to the user list.
  3. Guided step: Log in Type. Select a log in type for the invited users, then select Next.
See User Types for more information.
  4. Guided step: Select a company. If you have multiple companies in your enterprise, the Select Company dropdown field displays as step 1. If you do not have multiple companies in your enterprise, skip this step.
    1. Select the company with the users you want to invite. The dropdown list includes all companies (and entities, if applicable) in your enterprise.
    2. Select Next in the lower right of the page to advance to the next step in the assistant.
  5. Guided step: Users. On the Spectrum Employee List, select the employees you want to invite.
    1. Select users by selecting the checkbox next to their name. You can add users individually or in bulk.
Tip: You can filter and sort the grid to select a subset of users by job title, cost center, department, or other categories. If you clear and reset filters, the system retains the list of employees already selected.
    2. Use Search, Union Code, Wage Code, Title, Cost Center, Department, and Reset Filters as needed.
    3. Select Next in the lower right of the page to advance to the next step in the assistant.
  6. Guided step: Roles. Assign a role to each invited user.
Note: Updating user role might update license count.
    1. To assign a role to one user, select the Role dropdown for that user.
    2. To assign the same role to multiple users, select their checkboxes and then select the Change role dropdown button.
    3. Use Reset Filters as needed to refine the invited users list.
    4. Select Next in the lower right of the page to advance to the next step in the assistant.
  7. Guided step: Credentials (Managed path only).
    1. On the Add Usernames & Passwords step, set a default invitation method.
Choose Default invitation method to message (Phone number) or Default invitation method to email.
For each employee, the default phone number is their Work Mobile Number in Spectrum. If Work Mobile Number doesn't exist, it comes from the Personal Telephone field in Spectrum.
    2. Review each user's Invitation Method, Username, and Temporary Password. Adjust them as needed.
    3. Select Next in the lower right of the page to advance to the next step in the assistant.
The Trimble ID path skips this step.
  8. Guided step: Send Invites. Review the Invitations to send list, then select Send.

For Managed users, the review table includes Full Name, Invitation Method, Role, License, and Username.

For Trimble ID users, the review table includes Full Name, Invitation Method, Role, and License. It does not include a Username column.

Note: Invitations expire after seven days. See Track User Invitations.
  9. Review the post-send results on the Summary step.
    1. Review the Invitations Report.
This lists users that were invited. For Managed users, the table includes Full Name, Invitation Method, Phone Number, Role, License, and Username.
    2. Optionally, select Download Report in the Invitations Report section.
    3. Review the Errors Report.
This lists users that couldn't be invited.
    4. Optionally, select Download Report in the Errors Report section.
Invited users receive credentials or email invitations according to the log in type and invitation method you selected. Successfully invited users show a status of Invited on the User Management page.
