Add External Users

Manually add timesheet reviewers or approvers who are not employees in Spectrum or Traqspera.

You must have the Manage Users permission.

To add Managed users, you must be a Trimble ID user and have access to Trimble's ERROR - unresolved reference (admin_console) with the Account Owner, Secondary Account Owner, or License Admin role. For more information, see Getting Started with Admin Console for Managed Users - Video and Admin Console Onboarding Guide.

We recommend inviting users from Spectrum instead of adding them manually. See Invite Users From Spectrum for details.
Important: The following procedure should be reserved for users who are not connected to an employee record.

When you select New User, the Invite New User modal guides you through four steps: Log in Type, User Information, Credentials, and Invitation. For more information about log in types, see User Types.

  1. Select Settings > User Management.

    The User Management page opens showing a list of all users currently in the system and a summary of license usage by license type.

  2. In the upper right of the Users section, select New User.
    The Invite New User modal opens.
  3. Select a log in type, then select Next.
    Please choose log in type for this user. For more information, see User Types.
  4. Enter the user's details, link them to an employee, and select their role their role on the User Information step, then select Next.
  5. If you selected Managed users:
    1. On the Credentials step, review the read-only Short Code and Username Format Setting.
    2. Adjust the Username and set or select Generate for the Temporary Password.
      The username uses a read-only short code prefix plus an editable suffix, for example acme.jsmith. The user will be required to change password at next login.
    3. Select Next.
    4. On the Invitation step, select Invite via text message or Invite via email.
      If you select Invite via text message, enter a Phone Number.
    5. Select Invite.
  6. If you selected Trimble ID users:
    1. Enter the user's email address.
      Important: The email address entered here should be the email address associated with the user's Trimble ID.
    2. Traqspera displays an invite summary. Select Invite.
The user is invited according to the log in type and invitation method you selected.
