Warehouses
Set up warehouses to track stock levels across multiple locations, reallocate surplus materials, and safely store materials before allocating them to projects / job sites.
Using warehouses optimizes order flows and enhances project readiness by providing accurate, real-time inventory insights. Trimble Materials supports one or multiple warehouse locations depending on your requirements. Create warehouses and allocate inventory values to the existing material being stored.
Warehouses can:
- have inventory quantities for specific items added to them. Warehouse inventory will display when orders are received, ensuring that available inventory is used before new materials are purchased.
- be used to collect excess / surplus inventory back from a project.
- order directly from suppliers to replenish inventory minimums.
- can be set up as delivery addresses so that material can be processed there before being allocated to a project.
Item numbers in a warehouse will fluctuate based on orders, showing pending and available quantities.
The Warehouses tool is directly connected to your Company Items database; items in your warehouses must come from your Company Items database. Before you set up warehouses, Trimble recommends that you first build out your Company Items database database. The items in your database can then be tied to warehouses so that inventory values can be tracked. You will then be able to see item inventory associated with any of those Company Items database records. When an order is submitted to or through a warehouse, any item on the order that does not exist in the Company Items database will first be created in the Company Items database, and then it will be created in the warehouse inventory. If it already exists in the Company Items database and not in the warehouse inventory, it will be created in the inventory.
When you create a warehouse, Trimble Materials automatically creates a project and a supplier with the same name, as a warehouse can act as either; you can order material to a warehouse as you do to a project, and you can order from the warehouse as if it is a supplier.
On the Warehouse Items page, you can:
- Add a new warehouse.
- Add items to a warehouse:
- in bulk using a spreadsheet template that you import.
- manually, one at a time, selecting inventory from your Company Items database. See Add inventory to a warehouse manually
- Update existing items:
- one at a time. See Update existing warehouse items manually.
- by downloading your warehouse items as a spreadsheet, making required changes, then importing it to replace existing items.
- Delete items from a warehouse.
- Use the Search option to find a specific item in your warehouse(s). You can search by Name, Keyword, UPC, Manufacturer, or Model.
- Use the Filter to display only those items that are below the minimum inventory. This is helpful when managing critical inventory on multiple projects.
- Select to show a specific warehouse; use the Showing dropdown to select the warehouse you want to view.
- Edit an existing warehouse; you must first select it from the Showing dropdown to enable this option.
- Download all warehouse items to Excel. Select the Download Excel icon (top right of the page).
- Edit the columns that are displayed on the page; select the Edit Columns icon (top right of the page) and select or deselect the columns to customize your display.
- Select the number of rows to display per page (25, 50, or 100).
Items automatically added to a warehouse from a purchase order
If a purchase order sends items to or through a warehouse, if any item does not exist in the warehouse inventory, the system creates it.
Items entered on an order as Free Text are also automatically added to the warehouse that they are ordered to or from.
Items that you return from a job site to a warehouse are also automatically added to the warehouse.
A notification will appear on the order to indicate that the item is not yet in the warehouse and will be added automatically.
See Orders for more information.
