Vendor RFQ Group Detail
The Vendor RFQ Group Detail provides three primary tabs for managing materials, vendors, and pricing adjustments for an RFQ Group.
When you select an RFQ Group in the tree view, three tabs appear: the RFQ Group Information tab, the Quote Comparison tab, and the Adjustment Distribution Strategy tab. These tabs are described below.
RFQ Group Information
The RFQ Group Information tab allows you to add new or remove materials from the RFQ group. You can also add or remove vendors from the list of vendors.
This is also one of the two places where you can choose which vendor is assigned to provide the materials in the RFQ group.
Add or remove vendors
Users can add vendors to an RFQ group using the Vendors for this RFQ group area. New vendors can also be created on the fly. Vendors can be removed individually or in groups using standard multi-select functions (control-select or shift-select).
Edit information for a specific vendor
To edit the information associated with a specific vendor, such as address, phone number, or job cost ID, select the record selector for the vendor you want to edit, then select Edit.
Add or remove materials
Materials are managed within the Materials in this RFQ group area. Users can select multiple materials to remove using control-select or a shift-select.
Working with multiple manufacturers
The appearance and behavior of this tab varies depending on the manufacturer part number settings on the Cost Components, Materials page in the Options dialog box. If detailed manufacturers are specified, users can manage specific manufacturers for each material.
Allowing equivalent materials
In the Manufacturers for this material area, you can specify a single allowed manufacturer or you can allow equivalent materials. Selecting the Equivalent materials allowed check box identifies all manufacturers as Selected.
Override RFQ quantities
The RFQ Quantity field allows you to optionally override the estimate's quantity for materials on the RFQs issued to vendors.
Assign a vendor to an RFQ group
To assign a vendor, select the Use checkbox next to the vendor's name. This assigns that vendor's unit prices and adjustments to the material unit costs within the group.
Show 'Not Bidding' Vendors
The Show 'Not Bidding' Vendors checkbox controls the visibility of vendors who are part of the group but are not bidding.
Quote Comparison
The Quote Comparison tab is where you can compare vendors’ quoted prices for materials inside an RFQ group, and eventually decide which vendors to assign to each group.
A table at the bottom of the page displays the following for up to four subcontractors:
- Total quoted price — Total price of all materials within the RFQ group.
- Plug total for items not quoted — The total amount for all materials marked as "plugs."
- Adjustments — The total dollar amount for all adjustments associated with an individual vendor.
- Total adjusted price — Total quoted price combined with plug costs and adjustments, providing the most accurate cost for fair comparison.
Enter plug base prices
Plug prices serve as the default cost if a vendor omits a material quote. While the Plug column is read-only (as it may include tax and trucking), these values can be modified by selecting the virtual "Plug" vendor in the left-hand pane.
Assign an RFQ group to multiple vendors
By choosing (Multiple) in the Assign this group to combo box, radio buttons appear next to unit prices for each vendor. This allows for splitting the group by selecting different vendors (or the virtual plug vendor) for specific materials.
Handling adjustments when splitting groups
- Total Dollar Value adjustments: The entire adjustment value is distributed if the vendor is assigned to at least one material in the group.
- Percent adjustments: Calculated only on the dollar value of materials assigned to that specific vendor.
- Distribution Scheme: All adjustments for all assigned vendors follow the same distribution scheme defined at the RFQ group level.
Toggle between unit and total prices
Radio buttons allow users to toggle the display between unit prices and total prices for materials in the group.
Adjustment Distribution Strategy
The Adjustment Distribution Strategy tab defines how adjustments associated with the assigned vendor are handled within the estimate.
Distribution Methods:
- Proportionally By Price Into Selected Materials in Group: Distributes based on the material's quoted price.
- Evenly Across Selected Materials in Group: Distributes the value equally.
- Into Selected Detailed Item: Distributes the value into a specific detailed pay item. B2W Estimate creates a quick task inside that item to hold the adjustment cost.
Target Specification:
When using proportional or even distribution, users can choose to distribute into All materials in group or Selected materials in group.
