Create a New Operator Record (with Trimble Licensing)

Take these steps to assign a license and set local permissions simultaneously when creating a new Spectrum user record.

Trimble is migrating Spectrum organizations' license management to the Admin Console.
  • If your Spectrum organization has not yet been migrated, you need to use the instructions at Create a New Operator Record (without Trimble Licensing).
  • If you are unsure whether your organization uses the Admin Console to manage your Spectrum licenses, see Trimble Licensing in Spectrum.
Note: Even if you've used the Admin Console to manage licenses of other Trimble applications, using it to manage your Spectrum licenses before your Spectrum users have been migrated will have no effect.
  • If your organization does use the Admin Console to manage your Spectrum licenses, you must have the License Admin role (or higher) in the Admin Console to complete the steps on this page.
To create a new Spectrum user:
  1. Navigate to System Administration > Security > Operator Maintenance.
  2. Select New.
    The New Operator window appears.
  3. Select a valid User type for the Operator.
Note: Once you save this record, Spectrum locks this field. If you need to change the Operator's license type (for example, from Office to PM), make this change in the Admin Console.
  4. In the Operator code field, choose one:
    • To accept the next default code from the Enterprise Installation screen, press Enter.
    • Enter any alphanumeric code of up to three characters by which other users in the system can identify this user.
  5. In the Logon ID field, enter any alphanumeric code of at least three characters the operator will need to type when logging in.
  6. Complete the Name and E-Mail fields.
Important: If the user already has a Trimble ID email, you should use it here.
  7. To copy operator information from an existing operator, select the Copy from logon drop-down menu and make a selection.
This method for creating a new operator exactly replicates the setup of the existing operator, making it easy to set up a new user from another operator.
Note: The user you select to copy from must be of the same license type as shown for the user you're copying to.
  8. Select OK to save.
The Spectrum application requests a license from the Admin Console. While the system syncs, the Operator's record may initially display a "No License" status.
    • If the Admin Console reports back that a license is available, the user will be able to sign in.
    • If a license is not available, a message displays.
  9. If a message displays that a license is not available at the Admin Console:
    1. Choose how you want to make a license available:
    2. Return to Spectrum's Complete Operator Setup window (System Administration > Security > Operator Maintenance).
    3. Select the user in question.
    4. Select Resend to try the request again.
    5. Select OK to save.
What happens next:
  • If the new Spectrum user already has Trimble ID credentials, they should use them to sign in.
  • If the new user does not already have a Trimble ID, they will receive an invitation to create one.
