Change the sharing settings

You can grant access to everyone with permission for that record type in the project, or limit access to record participants and their companies.

Participants include the author, assignees, and courtesy copy recipients, as well as individual contacts and contacts of companies that are listed in any standard record fields. Attendees in meeting minute records are not participants.

If the record author is changed, the original author still has access to the record. The company of the original author is a participating company only if the original author's name is displayed in the Sharing panel or if another participant is a member of that company.

Note:
  • Other factors also affect a user's access to specific records.
  • Regardless of the sharing setting, all PCOs and PCO items are available for linking to CORs, PCCOs, and SCOs. Linked PCOs and items are visible to all users in those records.
To change the share settings:
In the Shared With section, select an option:
  • Entire Project: Everyone with permission for that record type in the project.
  • Participating Companies: Only people who belong to the companies that are participating in the record.
