Expedite Transpolink Import/Export
B2W Estimate will import from and export to Comma Separated Value (CSV) files created by the AASHTO Expedite Electronic Bidding System, as well as those created by Transpolink.
Configure Expedite for importing and exporting
ESTIMATE is configured for EBS imports and exports using Expedite's default import and export configurations.
To verify these default settings in Expedite, follow these steps:
- Launch Expedite, click the Tools menu, then select Options.
- Click the Export Format tab.
- Click Restore Defaults.
- Click on the Import Format tab.
- Click Restore Defaults.
Import from Expedite/Transpolink
- Run Expedite and load the .EBS file.
- Export the data to a CSV format before you set any unit prices for items. Refer to your Expedite documentation for instructions on exporting.
- Create and open a new estimate in B2W Estimate.
- Click the Tools menu, point to Import/Export, then click Import Pay Items.
- The Import Pay Items Wizard appears. Click Next.
- On the Select Import Format page, choose Expedite Transpolink for the import file type, then click Next.
- On the Select Item Database page, select an item database that you want to pull related cost structure from. Matching items that have related cost structure will be added to the estimate with the appropriate detailed costing. Click Next.
- On the Select Import File page, click Browse, then navigate to the file that you saved in step 2. Double click the file, then click Next.
- B2W Estimate will attempt to match the UM with a known UM but may not match them all. Select UMs for items where matches could not be made. If you are unsure of which UM to select, use the "? - Unknown" UM. Click Next.
- Carefully review the changes made to the estimate, then click Finish to import the items.
- these items will be flagged
- comments will be attached to these items as a reminder that they have fixed prices
- the Lock Type for these items will be set to "Price"
Export to Expedite/Transpolink
- Open any estimate.
- Click the Tools menu, point to Import/Export, then click Export Pay Items...
- The Export Pay Items dialog appears. Browse to the location where you wish the CSV file to be created, verify the filename, then click Save.
Working with addenda
The steps to import an addenda are the same as those described above in the Import from Expedite/Transpolink area. The only difference is that you are importing items into an estimate that already contains pay items, rather than to an empty one.
There are, however, two important considerations when importing an addendum:
- It is recommended that you make a copy of the current estimate before importing the addendum. If you mistakenly import the incorrect addendum you run the risk of losing all of the costing that you've done on the estimate.
- The final page in the Import Pay Items Wizard is the Review Changes page. Review the list of changes very carefully. Item level changes are listed with one of the following statuses:
Status Description Added New items that will be added to the estimate. Modified Items that already exist in the estimate that will be modified by the addendum. (I.e. description, quantity, UM, or unit price has changed.) Removed Items that currently exist in the estimate, but are not present in the addendum file. These items will be deleted from the estimate. There is no method of restoring this information once it is deleted.
Exporting unit prices with tax
Optionally, B2W Estimate allows you to export unit prices with tax when exporting information to Expedite. To do this, follow these steps:
- Open the estimate you'll be exporting to Expedite.
- Click the Estimate menu and then select Estimate Options.
- On the Estimate Properties - General page, create a user defined field called "Export Unit Bid Price With Tax". You may use any case you wish, as long as the name is exactly as described.
- Close Estimate Options and navigate to the Estimate Information tab.
- Assign a value of "True", "Yes", or "1" for your user defined field.
