RFQ Vendor Detail

The Vendor detail form allows for the management of material prices, adjustments, and minority participation for specific vendors within an RFQ group.

Overview

To view this form, select the plus sign next to an RFQ Group node in the left hand pane, then select a vendor. Alternately, you can select the Vendor node near the bottom of the left-hand pane to enter prices for all materials the vendor is quoting across multiple groups.

Configure View

There are many columns of information available on the Vendor RFQ Detail page. You can:

  • Choose which columns to display and their order.
  • Sort items by any column.
  • Filter the list by various criteria.
Note: Since these preferences are associated with your user account, they are retained for future sessions.

Use the Columns Manager to choose which columns you want to see

  1. Right-select any column header, then select Customize Item Columns....
  2. Use the Columns Manager to configure your column settings.

Entering Prices

The top portion of the screen displays materials within the selected RFQ group. Prices can be entered manually or imported:

  • Manually enter quotes: For each material, you can enter a Base Price, Tax Percent, and an optional Truck Price. Prices can be entered in the Unit Price or Total Price fields.
  • Import quotes: Use the Import Quotes dialog to import vendor quotes from Excel spreadsheets and fillable PDF files. Learn more about the Import Quotes dialog.

Plug the price for an unquoted material

If a vendor fails to provide a price, place a checkmark in the Plug checkbox. B2W Estimate retrieves the Plug Base Price for the material and makes the price fields read-only. Plug prices can be modified via the virtual Plug vendor node.

Set tax percents and trucking categories

To apply values to all materials in the RFQ group:

  • Select Set Tax Percent to enter a uniform tax rate.
  • Select Set Trucking Category... to specify Trucking Owned or Trucking Hired.

Get vendor prices from Resources

You can use the most recent values (Unit Price, Tax, and Trucking Cost) from Resources as a starting point. Select a vendor and select Get Values From Resources. This can also update Plug material costs.

Mark individual quotes as "No Bid"

Place a checkmark in the No Bid checkbox on the Vendors Grid to exclude specific items from the total RFQ group price. If a price was already entered, you will be prompted to keep the price, clear it, or replace it with the plug value.

Note: Settings for sending the RFQ (Print/Email) are not automatically unchecked when marking an item as "No Bid."

Mark vendor as "Not Bidding"

Place a checkmark in the Not Bidding checkbox at the top of the Vendor Grid. These vendors do not appear on the Quote Comparison tab and do not receive RFQs.

Vendor RFQ Attachments

Attach documents from vendors directly to the Vendor Detail Form. Attachments appear in alphabetical order.

  • Add: Select the RFQ Attachments radio button and select Add....
  • Open: Select the attachment name and select Open.
  • Delete: Select the attachment and select Delete or press DELETE on your keyboard.
Note: RFQ Attachments are read-only when opened in Estimate. To edit, save the file locally and reattach.

Vendor Adjustments

You can create an unlimited number of adjustments (such as post-submission discounts). These are automatically distributed based on the Adjustment Distribution Strategy tab.

Create a vendor adjustment

  1. In the Adjust field, select All Groups For This vendor or This RFQ Group.
  2. Enter a Description and select a Cost Category.
  3. In the Adjust As field, choose Percent or Total Dollar Value.
  4. In the Value field, enter the percentage or dollar amount.
Note: Percentage adjustments apply only to quoted materials; materials with plug costs are excluded from the calculation.
