About the sharing setting

You can grant access to everyone with permission for specification sets or specifications in the project, or limit access to people in participating companies.

Participants include the author, assignees, and courtesy copy recipients, as well as individual contacts and contacts of companies that are listed in any standard record fields. Attendees in meeting minute records are not participants.

If the specification set or specification author is changed, the original author still has access to the record. The company of the original author is a participating company only if the original author's name is displayed in the Sharing panel or if another participant is a member of that company.

Note: In the record settings, the project's primary company can be granted access, which overrides the sharing setting for people from the company.
To change the sharing setting:
  • In the Shared With section, select an option:
  • Entire Project: Everyone with permission for specification sets or specifications in the project.
  • Participating Companies: Only people who belong to the companies that are participating in the specification set or specification. This includes the author, assignees, and courtesy copy recipients.
