Add a supplier from the Supplier Xchange network

Add a supplier to Trimble Materials directly from the Supplier Xchange network.

On the Suppliers page, add a new supplier from the Supplier Xchange network.
  1. On the left panel, select Suppliers.
  2. On the Suppliers page, select the + (Add New Supplier) button.
    The Search Supplier dialog opens.
  3. In the Search Supplier dialog, search for a supplier in the Supplier Xchange network using:
    • Postal code.
    • Distance in miles from your location.
    • The supplier name.
    • The industry – select Plumbing / Mechanical or Electrical from the dropdown.
  4. Select SEARCH.
The Search Supplier dialog displays a list of available suppliers that match your search criteria.
Note: Suppliers that you are already connected with are listed, but are not available for selection.
  5. Select the checkbox for an available supplier that you want to connect with.
  6. Select CREATE & CONNECT.
  7. In the Create Supplier & Request Connection dialog:
    1. In the Account number field, enter the account number that the supplier uses to identify your company.
    2. Optionally, enter a message to send to the supplier so they can identify your company and expedite the connection.
    3. Enter contact details for the supplier (contact name, email, and phone number).
    4. Enter Billing and Accounting details:
    • Billing email and Billing phone number. The supplier’s billing email address is used when an invoice is rejected; the billing email address for the supplier will receive the email.
    • Payment Terms (Days). This is used to calculate the invoice due date.
    • Accounting Ref. This is the supplier name used in your ERP or accounting system, for export / integration purposes.
    • Default cost code. Select from the dropdown. This is automatically populated in the invoice export workflow.
    • Tax. The value entered here will be used in the purchase order calculation.
  8. Select CREATE & CONNECT.
The supplier is added to Trimble Materials. On the Suppliers page, the left-most column shows the Supplier Xchange network connection status badge for each supplier:
  • No badge - the supplier is not connected from the Supplier Xchange network.
  • Green circle with a check icon - the supplier approved the connection request and there is now an active connection.
  • Yellow hourglass icon - a connection request has been sent, but the supplier hasn't approved it yet.
  • Red circle with a slash icon - the supplier has rejected the connection request or terminated an active connection.
  • Red triangle with exclamation icon - a system or technical error occurred when attempting to request or maintain a connection.
